Planners can greatly benefit from the technology SiteVisit offers to its industry partners and customers. Planners are able to use the SiteVisit services at no charge and can access their user account information anywhere they have internet connectivity. Below are some highlights of what we offer.

Extensive and dynamic Search capability:

  • Potentially over 83,500 Venues worldwide can be featured on a partner portal
  • Search criteria includes Geographic Location, Venue Specifics (name, type, class, etc.), and required meeting capacities and number of guest rooms

Unparalleled Venue Detail:

A Venue’s listing can feature areas of information such as:

  • Venue overview with multiple digital images
  • Full contact information
  • Location information with Google satellite mapping down to street level
  • Venue standard amenities and services
  • Guestroom information, featuring images and amenities
  • Extensive meeting room details with photos and floor plans including room and access dimensions, capacities based on seating style, and associated amenities
  • Complete dining options with photos, sample menus and wine lists
  • Activities – onsite and off site
  • Weather information (including current 7-day forecast and 30-year historical information)

Planner User Center

No planner registration is required to conduct Venue searches. However, should you choose to register, you will be able to take advantage of the following services. Again, at no charge.

  • Manage your profile
  • Bookmark preferred Venues for future reference
  • Choose to receive preferred e-newsletters
  • View a list of Recently Viewed Venues (automatically updated)
  • Select your User Preferences: Calendar, currency, distances, weights and measurements parallel your selected country/language. The same would occur for the receiving Venue, with all necessary conversions taking place on the fly, thus reducing the possibility of misunderstandings during negotiations.
  • Use the complete RFP process to the point of making your booking

Requests for Proposals (RFP’s)

  • Create online RFP’s to send to one or multiple Venues
  • Choice of two RFP forms: Quick RFP or Detailed RFP
    • Quick RFP: Requires only limited information points (data fields) be completed in order to send a simple RFP to multiple Venues at one time.  Designed for those with either limited information or limited time.
    • Detailed RFP: You can enter full event information in this dynamic form, outlining details associated with preferred dates, budgets, accommodation requirements, full event agenda, event history, as well as include frequently asked questions and attach pertinent documents.  As with Quick RFP's, Detailed RFP's can be sent to multiple Venues at one time.

Manage My RFP’s

  • View Draft and Sent RFP’s
  • Sent RFP’s indicate the current status of the RFP (Sent, Responded, Accepted, etc.)
  • Compare multiple responses to an RFP in a price comparison grid
  • Accept or Reject the Venue’s proposal
  • Finalization of the event booking would be completed using traditional methods
